Privacy Policy

APNet is the national network for Assistant Professors in the Netherlands. We are a member-based organisation, open to everyone with an Assistant Professorship position at a Dutch Research Center or University. 

We are committed to processing your personal data in compliance with the relevant laws and policies, specifically with the EU GDPR.

This policy describes how APNet collects and uses your personal data. By registering with our network, attending our events and activities, or visiting our website, you accept and consent to the practices described in this policy.

1. What personal data do we process and why?

As part of our operations, we collect and use some personal data, any information relating to an identified or identifiable natural person, of our members and, in some cases, other individuals. Below, a description of the personal data we collect, the reasons for collecting this data, and the legal grounds on which this data is processed is provided.

APNet only uses your data for the purposes for which it is collected, unless it is reasonably considered that we need to use your personal data for another related purpose and that purpose is compatible with the original purpose of the processing of your personal data. If we ever need to use your data for an unrelated purpose, we will seek your consent to use it for that new purpose.

Please note that when your personal data is processed based on your consent, you have the right to withdraw your consent at any time without the need to substantiate your request. You can withdraw your consent by contacting us at ofni.[antispam].@ap-net.nl. For information about cookies, please see section 5. However, please note that your withdrawal will not affect the lawfulness of any processing carried out before it, and you may no longer be able to use our website in the same way you did before.

Where the collection of your personal data is processed based on our legitimate interest, it means that we are processing your personal data based on our legitimate interests that are indicated in this privacy notice without causing an undue risk of harm to anyone, and processing only the necessary amount and type of data possible to pursue this interest.

2. How long do we keep your personal data?

APNet does not store your data longer than necessary to realize the purposes for which your data is being collected or to fulfill any legal, accounting, reporting, or other obligations APNet is subject to. Once those purposes are fulfilled or the legally required retention period is over, your data will be deleted.

3. How do we protect your data?

APNet takes appropriate technical and organizational measures to protect your personal data against unauthorized access, disclosure, alteration, or destruction. For example, access to your personal data is limited to the specific Board Members who need to view it as part of their work in connection with their roles at the APNet. We also pay utmost care when identifying our processors who may handle your personal data.

4. Do we share your data with third parties?

APNet does not sell or monetize your data to third parties. We may share your data with third-party service providers we select with utmost care. We share only the minimum amount of data with these third parties, limited to what is necessary for APNet’s relevant operations and activities. Third-party service providers we currently use include Dispi Software Engineering, which provides our website infrastructure. For further information about their practices, please refer to their privacy policy, available at this link. Furthermore, we use Google Forms to collect survey data, which is voluntary. We also store information on APNet on a Google Drive.

5. Do we use cookies?

We use cookies to store login information of our members.

6. Do we share your personal data outside of the EU?

As indicated above, we use Google Drive for APNet activitiy. However, we only store survey data on the Google Drive that users have entered voluntarily.

7. How can you unsubscribe from our newsletter?

To unsubscribe, please notify us via ofni.[antispam].@ap-net.nl. 

8. What rights do you have regarding the processing of your personal data?

As a data subject, you are entitled to several rights regarding the processing of your personal data. This includes:

  • Right to be informed: You can inquire about the processing of your personal data, such as how we obtained it and with whom we shared it.
  • Right to access: You can ask for copies of your personal data we hold.
  • Right to rectification: You can request the correction of any incompleteness or inaccuracies in your personal data.
  • Right to erasure: You can ask for the deletion or removal of your personal data.
  • Right to restriction of the processing: You can limit or suspend how we use your personal data.
  • Right to object: You can object to the processing of your personal data where we rely on our or a third party’s legitimate interest as the legal basis for processing your personal data, and there is something about your particular situation which makes your interests override our or the third party’s legitimate interests pursued by this processing.
  • Right to data portability: You can ask to receive your personal data in a structured, commonly used, and machine-readable format and/or to have this personal data transmitted to another controller.

If you have concerns about how we process your personal data or want to exercise your data subject rights, please contact us at ofni.[antispam].@ap-net.nl. Upon receiving your request, we will respond without undue delay and in any event within one month. Please note that certain exceptions may apply when you wish to exercise your data subject rights, which may result in, for example, not being provided with all the information you asked for or the denial of your erasure request.

If you remain unhappy with how we process your personal data after raising a complaint with us, you can also exercise your right to complain by contacting the Autoriteit Persoonsgegevens (the Dutch data protection authority) or your local data protection authority if you are based in another EU country.

9. Will this policy be updated?

This policy was last updated on 23 September 2026. We may update this policy at any time. Such updates will be announced on our website and notified to our members via email. Please check our website and/or correspondence you receive from APNet regularly to stay informed about any updates or changes to our privacy policy.
